Director of Events

THE ORGANIZATION

​

In 2017, Positive Resource Center, Baker Places, and AIDS Emergency Fund merged to become PRC, the region’s only human service agency with the integrated legal, social, and health expertise to holistically address many of the social problems facing the City of San Francisco. Today, PRC supports people affected by HIV/AIDS, substance use, or mental health issues by providing integrated services that include crisis care and emergency financial assistance for short-term security; legal advocacy for access to basic income and health care benefits for mid-term stabilization; and residential treatment, supportive housing, and employment training for longer-term social rehabilitation. Each year, PRC’s programs provide over 5,000 clients with a path toward long-term stability and success.

With an increasing demand for its services, PRC recently undertook a major fundraising initiative to raise $7M to construct and equip its new San Francisco Integrated Service Center which opened in April 2019. The Center enables PRC to consolidate all non-residential programs (employment services, legal representation, emergency financial assistance, and benefits counseling) and house PRC’s administrative offices. The building includes a state-of-the-art computer lab, employment training rooms, and a convening space for public forums.

THE POSITION

​

The Director of Events will provide management-level leadership and accountability for the performance and success of all fundraising events and strategies to help meet PRC’s annual revenue goals. Reporting to the Chief Strategy Officer, the Director of Events will be responsible for designing and implementing all PRC events, including Pride Brunch, Mighty Real Gala, and AIDS Walk San Francisco. They will develop and manage a strategic plan of both internal and external events that will support PRC'S efforts to engage and raise support from individual and institutional donors to meet annual revenue goals.

 

A new and important event on PRC’s calendar in 2020 will be AIDS Walk SF, an annual event that has raised over $92M for HIV programs and services in the Bay Area since 1987. Last year, thousands of participants from corporate and community teams raised over $1.4M for Bay Area organizations. The Director of Events will play a critically important role in planning and on-site production of AIDS Walk SF, recruiting and guiding volunteers and participants and identifying and securing support from corporate and other sponsors. The Director of Events will collaborate with PRC colleagues and event staff to design and curate engagement activities for WALK participants to increase fundraising, advocacy, and awareness of PRC and the mission of AIDS WALK SF.

RESPONSIBILITIES

​​

  • Design, manage and evaluate a comprehensive program of special events (fundraising and cultivation/stewardship) to support PRC’s fundraising goals

  • Lead efforts to identify and embrace new opportunities to grow and expand revenue from PRC’s portfolio of events – internal and external

  • Select and manage the work of event contractors and vendors overseeing event execution. Select vendors and negotiate contracts that may include gifts-in-kind

  • Determine and monitor annual event revenue goals and the strategies and metrics needed to meet or exceed them

  • Holistically manage all components of AIDS Walk SF: manage contract events staff as well as recruit and train volunteers; create and monitor event timelines; maintain strong vendor relationships in order to streamline production and minimize cost; and maintain accurate records/reports on recruitment numbers and fundraising performance

  • Collaborating with development colleagues, manage a tailored portfolio of assigned prospective donors at various stages in the cultivation/solicitation cycle as event participants, event committee leaders or volunteers

  • Collaborate with marketing/communications colleagues to produce effective collateral for events (website, email, scripts, etc.)

  • Identify, support and staff, as appropriate, event committees and volunteers. Collaborate with development colleagues to steward event volunteers and PRC donors and grow the organization’s donor base

  • Prepare reports, oversee project budgets and maintain financial records for events

  • In collaboration with colleagues, identify and develop opportunities for corporate engagement in PRC events  

     

CANDIDATE QUALIFICATIONS/EXPERIENCE

 

Experience
 

  • Five to seven years of demonstrated success developing, promoting and managing special events; at least two years of staff or event contractor supervisory experience

  • Knowledge of and experience with large-scale event production, ability to manage multiple tasks simultaneously, exceptional attention to detail, and experience working with volunteers and staff

  • Experience producing special events with attendance of 250+ individuals; negotiating and securing contracts, organizing logistics effectively, and overseeing all aspects of event production

  • Experience with the use of strategic events in fundraising and a record of identifying and securing funders to an organization

  • Experience managing special events budgets

  • Ability to sell PRC programs and events to a variety of audiences, including corporations, individuals and volunteers

  • Demonstrated record of customer service and relationship building

  • Experience with the SF AIDS Walk or similar fundraising events is a plus
     

Education

 

  • Bachelor’s degree or equivalent combination of education and work experience.

  • Proven ability to work on multiple projects with tight timelines and limited budgets

  • Able to undertake occasional evening and weekend work

  • Proficiency in Microsoft Office and familiarity with Salesforce or other relational databases

  • Must possess a valid driver’s license. Physical ability to drive a motor vehicle and lift 40lbs
